Sponsorship Terms & Conditions - AiStandard.io Summit 2026

  1. Confirmation Process: Sponsorship is confirmed only upon receipt of completed application form and full payment. Applications will be processed on a first-come, first-served basis.

  2. Payment Terms: 100% payment must be made within 15 days of invoice issuance. All payments should be made in Indian Rupees through bank transfer, cheque, or online payment as specified.

  3. Logo & Materials: Sponsors must provide high-resolution logos (minimum 300 dpi) and required promotional materials within 7 days of confirmation to ensure inclusion in event collateral.

  4. Cancellation Policy:

    1. For Principal Sponsor(s):

      1. Non-refundable except in force majeure circumstances or upon cancellation of the event.

    2. For Platinum and Diamond Sponsors:

      1. Cancellations received 60+ days before event: 50% refund.

      2. Cancellations 30-60 days before event: 25% refund.

      3. Cancellations less than 30 days before event: No refund.

    3. For Gold Sponsors and AI Exhibitors:

      1. Cancellations received 60+ days before event: 75% refund.

      2. Cancellations 30-60 days before event: 50% refund.

      3. Cancellations less than 30 days before event: No refund.

  5. Booth Allocation: Exhibition space will be allocated based on sponsorship level and order of confirmation. The organiser reserves the right to make final decisions on booth placement.

  6. Setup & Dismantling: Sponsors must adhere to the designated setup and dismantling schedule provided by the organiser. Additional charges may apply for extensions or special arrangements.

  7. Intellectual Property: The event organiser has the right to use sponsor logos and names for event promotion. Sponsors may use the event logo only in relation to their sponsorship of this specific event.

  8. Advisory Board: Honorary Advisory Board positions in the Summit are ceremonial in nature and do not constitute decision-making authority regarding event content or structure.

  9. Roundtable Participation: Sponsor recommendations for roundtable participants are subject to final approval by the event content committee based on thematic relevance and speaker balance.

  10. Force Majeure: In the event that the AiStandard.io Summit 2025 is cancelled, postponed, or significantly disrupted due to circumstances beyond the organiser's reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, civil unrest, strikes, lockouts, pandemics, epidemics, government orders or restrictions, or the unavailability of the venue (a "Force Majeure Event"), the organiser's obligations under these Terms & Conditions shall be suspended. In such circumstances, the organiser reserves the right to:

    1. Reschedule the Summit to a later date;

    2. Offer Sponsors alternative benefits of comparable value at the rescheduled event or through other means; or

    3. If rescheduling is not feasible or practical in the organiser's sole discretion, offer a partial refund of the sponsorship fee, the amount of which will be determined by the organiser based on costs incurred and the extent of benefits already provided.

    4. The organiser will provide sponsors with notice of any Force Majeure Event and the resulting actions as soon as reasonably practicable.

  11. Liability: The organiser is not responsible for any loss, injury or damage to sponsor property. Sponsors are advised to arrange appropriate insurance coverage.

  12. Compliance: Sponsors must comply with venue regulations and applicable laws. Promotional activities must be confined to allocated exhibition space.

  13. Modifications: The organiser reserves the right to make reasonable changes to the sponsorship benefits if necessary, with commitment to maintain equivalent value.

  14. Dispute Resolution Clause:

    1. Amicable Resolution (Mediation): In the event of any dispute arising out of, or in connection with these Sponsorship Terms & Conditions, including any dispute relating to their validity, the parties shall, at first instance, attempt to resolve the dispute by Mediation administered by the Centre for Online Resolution of Disputes (“CORD”) (www.resolveoncord.com) and conducted in accordance with the CORD Rules of Mediation, by a Sole Mediator to be appointed by CORD.

    2. Jurisdiction: In the event the parties are unable to resolve any such dispute through Mediation within 45 days of the initiation of the dispute, the dispute shall be subject to the final and exclusive jurisdiction of the courts at Prayagraj (Allahabad), Uttar Pradesh, India.

  15. Sponsor Branding Rights and Limitations

    1. All sponsors are granted limited rights to use AiStandard.io and ISAIL.IN branding in accordance with Article 25 of AiStandard.io Alliance Charter, which is hereby incorporated by reference in its entirety.

    2. Specific Provisions:

      1. Logo usage must comply with Article 25(1) guidelines regarding original form, clear space, minimum size, and non-endorsement implications

      2. All sponsor materials featuring AiStandard.io or ISAIL.IN branding must adhere to the official colour palettes specified in Article 25(2)

    3. Sponsor materials must comply with the placement and positioning requirements in Article 25(3)

    4. Any use of AiStandard.io or ISAIL.IN content must follow the verbatim usage and attribution requirements in Article 25(4)

    5. Approval Process: As per Article 25(8), sponsors must submit all proposed uses of AiStandard.io or ISAIL.IN branding to the Alliance's Governing Body for approval at least 14 days prior to intended use.

    6. Termination: Upon expiration or termination of the sponsorship agreement, sponsors must cease all use of AiStandard.io and ISAIL.IN branding in accordance with Article 25(9).

    7. Non-compliance with Article 25 may result in immediate termination of sponsorship rights without refund.
